Directory & Profiles
Directory & Profiles
The People directory is the central place to find colleagues, view the reporting structure, and open an employee's full profile. Every person in your organization has a single profile page made up of tabs — and what each viewer can see is carefully gated by role and privacy rules.
The directory
The directory is a searchable, filterable list of everyone in your organization.
- Search by name or email.
- Filter by Department, Role, and Status.
- Export the list to CSV, PDF, or Excel.
- Add User and Departments buttons appear for administrators and executives only.
Who can see the directory
Visibility is configurable per organization in Company Directory settings. Choose one of:
| Setting | Who can browse the directory / org chart |
|---|---|
| Everyone | All employees |
| Admins + Department heads | Administrators, executives, and department heads |
| Admin only | Administrators and executives only |
Department heads only ever see members of their own department, regardless of the broader setting.
Admins can also toggle which directory fields are visible to everyone — basic contact details, job info, and social links — independently of the full profile.
View modes
The org chart page offers three ways to look at your people:
| View | What it shows |
|---|---|
| List | A compact, sortable table of everyone |
| Directory | A grid of profile cards |
| Org Chart | A reporting-line tree based on each person's manager |
reportsTo relationship). A person's Direct Reports are listed on their Job tab. To change who someone reports to, edit their employment details (admin/exec only — see Managing Users). The employee profile
Each employee has one profile page organized into tabs. Which tabs appear depends on whether you're viewing your own profile and on your role.
| Tab | Who sees it |
|---|---|
| Personal | Everyone (with PII gating — see below) |
| Job | Everyone |
| Time Off | Everyone |
| Documents | Your own profile, or admin / department head |
| Certifications | Everyone |
| Expenses | Everyone |
| Assets | Your own profile, or admin / department head |
| Training | Your own profile, or admin / department head |
| Performance | Administrators or department heads only |
| Onboarding | Per workflow / role |
| Offboarding | Per workflow / role |
| Custom tabs | One per configured custom tab, gated by that tab's visible-to-roles |
For the data captured on the HR-focused tabs (compensation, certifications, assets, notes, custom fields, and more), see HR Records. For goals, 1:1s, and reviews, see Performance. For courses and assignments, see Training.
Inline editing
Each profile section has its own edit form — you edit a section in place rather than opening one giant form. There is no "request a change → approval" workflow: an edit you're allowed to make is saved directly.
Self-service vs. admin
| Area | Who can edit |
|---|---|
| Your own Personal sections | The employee (self-service) |
| Certifications, Education, Languages, Visas | The employee (self-service) or admin/exec |
| Job / employment fields | Admin / exec only |
| Compensation | Admin / exec only |
| Leave allowance | Admin / exec only |
Manager (reportsTo) | Admin / exec only |
Profile completeness
Profile completeness is a 0–100 score derived from roughly 13 key fields. When a profile is under 100%, a progress bar is shown to administrators and executives so they can chase down missing details. Newly created users start at a completeness of 60.
PII privacy gating
The profile enforces strict privacy. Who you are determines how much of a profile you see.
The full profile — including encrypted PII such as tax ID, emergency contact, and bank details — is returned only to:
- The person themselves,
- Administrators and executives, or
- A department head viewing a member of their own department.
Everyone else gets a directory-only view (the basic, admin-configured fields).
| Field | Visibility |
|---|---|
| SIN / Tax ID | Masked; shown only to admin/exec |
| Citizenship certificate number | Masked; shown only to admin/exec |
| Emergency contact, bank details | Full-profile viewers only |
Troubleshooting & notes
- I can't see a colleague's full profile or their compensation. This is expected — full profiles and pay data are restricted to the person themselves, admins/execs, and a department head viewing their own team member. Everyone else sees a directory-only view.
- The directory is empty or limited for me. Directory visibility is set per organization (Everyone / Admins + Department heads / Admin only), and department heads only see their own department. Ask an administrator to check Company Directory settings.
- I don't see the Performance tab. It's visible only to administrators and department heads.
- The Benefits tab is missing. It's intentionally disabled in the app.
- Profile completeness won't reach 100%. Fill in the remaining key fields; the bar is only shown to admins/execs while a profile is under 100%.
Offboarding
The deliberate offboarding flow — the Offboard form, the one-transaction cleanup it performs across leaves, approvals, time, expenses, documents, projects and access, the guardrails, and offboarding checklists.
Managing Users
Add new employees, edit their details, and manage the full user lifecycle — offboarding, reactivation, deletion, roles, departments, and managers.
