Plans

BookYourPTO comes in four plans: Free, Pro, Business, and Enterprise. Each plan sets two things: how much you can store and create (limits), and which features are turned on (feature flags). This page lays out both so you can pick the right tier.

Who can change the plan. Only users with the ADMINISTRATOR or EXECUTIVE role can manage billing, upgrade, downgrade, or buy add-ons. Everyone else sees the feature, just not the controls.

Lifetime vs. per-period. On Free, the document, project, and expense-claim caps are lifetime totals. On Pro and Business the same caps reset every billing period. See Limits & Usage for the full rules.

Audit logs are now on every plan — including Free. Previously this was a Business-only feature. The activity log that records who did what and when is now available to all customers. Role gating still applies (audit logs are visible to EXECUTIVE). See Audit & Monitoring.
White-label branding and custom domains are not part of any plan. They are sold separately as an add-on you can attach to Pro, Business, or Enterprise. See Add-ons.

Choosing a plan

  • Free — Up to 3 people, core leave/time/expense tracking, and audit logs. Note the lifetime caps on documents, projects, and expense claims.
  • Pro — Adds calendar sync, geofenced clock-in, advanced reporting, and Slack/Teams notifications. Caps become per-period instead of lifetime.
  • Business — Adds SSO, QuickBooks Online, custom workflows, and priority support — the tier for teams that need single sign-on and accounting sync.
  • Enterprise — Everything unlimited, plus API access. Custom-priced for large organizations.
