Project Management
What Is Project Management?
The Projects module allows organizations to organize work into structured projects, assign tasks, track time, and monitor budgets and billable activity.
Projects act as a central hub connecting:
- Tasks
- Time tracking
- Billing
- Team collaboration
Creating a Project
- Navigate to Projects.
- Click Create Project.
- Enter project details (name, code, status, settings).
- Configure financial and timeline settings.
- Save the project.
Project Details
Basic Information
- Project Name (Required) — Primary identifier
- Project Code — Unique reference for reports and integrations
Project Status
| Status | Description |
|---|---|
| Active | Project is currently in progress |
| On Hold | Project is temporarily paused |
| Completed | Project work has been finished |
| Archived | Project is stored for reference |
Organization Scope
- Assign the project to:
- A specific organization, or
- Make it organization-wide
This determines visibility across teams.
Visual Identification
- Assign a color and icon to the project
- Used across:
- Time tracking
- Dashboards
- Reports
Client Association
- Optionally link a client to the project
- Add client email for:
- Notifications
- Reporting communication
Financial Settings
Configure project-level financial tracking:
- Budget Hours — Total allocated hours
- Hourly Rate — Used to calculate billable amounts
Billing Type

Timeline
- Define:
- Planned Start Date
- Planned End Date

Project Dashboard
Open a project to access the Project Dashboard, which provides:
- Task progress
- Time entries
- Budget usage
- Billing metrics
Managing Tasks
Tasks represent individual units of work within a project.
Accessing Tasks
- Navigate to Projects > Project > Tasks
- Use Progress Boards to track task status
Creating a Task
- Open a project.
- Navigate to Tasks.
- Click Create Task.
- Enter task details.
- Save the task.
Task Details
- Task Name (Required)
Configuration
- Priority — Helps organize workflow (Low, Medium, High)
- Assignee — Assign one or more employees
- Deadline — Expected completion date
- Estimated Hours — Contributes to project budget tracking
Billing Control
Tasks can override project billing:

Work Description

Time Tracking
Employees can log time directly against projects and tasks.
How It Works

The Time Entries section provides a detailed log of all recorded work.

Billing
The Billing section provides a financial overview of the project.

- Total Billable Amount — Based on billable hours and rates
- Total Hours Tracked — All logged hours
- Non-billable Hours — Excluded from billing

Budget Overview
- Visual breakdown of:

Time by Team Member
- Shows:
- Hours logged per team member

Notes
- Project data updates in real time
- Budget calculations depend on time entries and billing configuration
- Access and visibility depend on user roles and permissions
Schedules
Plan and publish employee shifts — open shifts and claiming, recurrence, bulk tools, copy/clear week, the team matrix, the department-head review workflow, and an optional org default schedule.
Expense Settings
The Expense Management section allows administrators to configure reimbursement settings, expense categories, per diem rates, mileage rates, receipt requirements, and approval policies for the organization.
