Department Management

Learn how to create and manage departments, assign managers, and organize employees for approval workflows and reporting.

What Is Department Management?

The Departments module allows administrators to organize employees into departments and assign managers responsible for approving leave requests.

Departments help structure:

  • Employee grouping
  • Leave approval workflows
  • Reporting and organizational visibility

Viewing Departments

The Departments page displays all departments within the organization.

Each department includes:

  • Department Name
  • Department Code
  • Employee Count
  • Assigned Manager

Creating a Department

  1. Navigate to Settings → Departments.
  2. Click Add New Department.
  3. Enter department details:
    • Name
    • Code
  4. Assign a department manager (optional).
  5. Save the department.
Departments can be created without a manager, but approval workflows will not function until one is assigned.

Assigning a Manager

A department manager is responsible for approving leave requests for employees within that department.

Manager Behavior

  • If no manager is assigned, the department displays “No Manager”
  • Managers can be updated or changed at any time
  • Leave approvals are routed to the assigned manager

Employee Assignment

Each department tracks the number of employees assigned to it.

Employee Count

  • Displays the total number of employees in the department
  • Updates automatically when employees are added or removed

Assignment Rules

  • Employees typically belong to one department at a time
  • Assignment rules may vary based on organization configuration

Department Status

Departments can be marked as active or inactive.

Viewing Inactive Departments

  • Enable Show Inactive to view archived departments
  • Inactive departments remain available for:
    • Reporting
    • Audit purposes

Status Behavior

StatusBehavior
ActiveCan have employees assigned and participate in workflows
InactiveCannot accept new employees but retains historical data

Department Codes

  • Each department has a unique code (e.g., HR, IT, FINA)
  • Used for:
    • Identification
    • Reporting
    • Internal references
Department codes must be unique within the organization.

Saving Changes

  • All changes are applied immediately after saving
  • Updates affect:
    • Leave approval workflows
    • Reporting
    • Employee assignments

Notes

  • Departments are used to structure approval routing and reporting
  • Manager assignment directly impacts leave approval flows
  • Access and configuration depend on administrator permissions
